Policy version: October 14, 2026. Applies when this policy is published with the corresponding service update.

This policy explains how Dad Tribes LLC handles information in Dad Tribes, TribeBldr, Mini Andrew, and the optional connected-email features. Some features are available only after activation or provider approval. We explain the requested permissions before you authorize them.

Information we collect

We process account and profile information you provide; tribe membership and interests; community posts and messages within the scope you are authorized to manage; event details and RSVP records; information you share with Mini Andrew; files you upload; business prospects, outreach and recorded sales information; and operational records needed to secure and operate the service. Where instrumented, we record app foreground activity and tribe screen visits. An app visit, a message read, an RSVP and verified event attendance are different measurements.

Location information supports local communities, events and research. Do not provide private member addresses, credentials, sensitive health information or identifying details about children in AI requests. Payment, payout and tax information is handled through the relevant workflows and providers; email integration does not grant access to payment accounts.

Connected Google and Microsoft accounts

Connecting email is optional. Sending access lets you send messages you review and approve from your connected account. Drafts are stored in TribeBldr, not in your email provider’s Drafts folder. Optional reply tracking requires separate affirmative consent and additional read-only permission. Google’s gmail.readonly and Microsoft’s delegated Mail.Read permissions authorize broader mailbox access at the provider level. Our application limits its processing to outreach conversations originating from messages sent through TribeBldr.

To identify matching replies, we process tracked outbound identifiers and limited message metadata, such as sender, recipient, time, message references and conversation identifiers. We retrieve matching reply content after those checks. Metadata associated with other messages in a tracked conversation may be examined to determine whether they match. We do not import your entire inbox or fetch unrelated message bodies for coaching. Messages without a reliable match are not treated as tracked replies. Email attachments are not downloaded by reply monitoring.

We use the connected account’s verified identity, OAuth authorization and refresh tokens to maintain your selected features. Tokens are stored encrypted on the backend and are not returned to the browser. We do not receive your Google or Microsoft password through OAuth. Sending permission does not prove delivery or a sale. Sending every new email or response requires your explicit approval. With reply tracking connected, matched replies are checked periodically and Mini Andrew automatically prepares response drafts using OpenAI. Draft preparation does not send a message. You can continue using send-only features without enabling reply monitoring.

How Mini Andrew uses information

Mini Andrew combines approved business training with your authorized community and business context to prepare coaching, analysis, drafts, recommendations, images and next steps. Relevant context is sent to OpenAI when needed to provide these features. For optional email assistance, this may include the matching reply and the relevant outbound message. Email-based response preparation runs separately from shared learning and does not grant the model sending or spending authority.

We do not use connected Google or Microsoft email data, including derived summaries, to train, improve or develop generalized or non-personalized AI or machine-learning models. We do not sell connected email data or use it for advertising targeting. We do not place private email data into a shared training library. Optional sharing of other coaching takeaways is separately controlled and subject to review; it does not authorize sharing connected-email content.

Google Limited Use

TribeBldr’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements, and the applicable Google Workspace API user data policy.

Human access to Google user data is limited to circumstances permitted by those policies, such as your affirmative agreement to view specified information, security investigation, applicable legal obligations, or permitted aggregated internal operations. Routine administrator status does not provide a dashboard for browsing users’ inboxes.

Purposes and sharing

We use information to operate requested features, personalize coaching, manage community and business workflows, prevent misuse, provide support and meet legal obligations. Service providers include Google Cloud/Firebase for hosting, storage and authentication; Google or Microsoft for your selected email integration; OpenAI for AI processing; and the relevant WordPress/WooCommerce and payment-related services for business workflows. These providers receive information needed for their roles, subject to their agreements and applicable policies. We may disclose information when legally required, to protect safety and security, or in a business transfer subject to applicable protections. We do not disclose private member conversations or connected email content to prospective business partners merely because an opportunity is suggested.

Automatic operations

After guided setup, TribeBldr prepares daily, weekly and monthly operations for up to three dashboard tribes, with one account-wide priority plan. You can edit timing, pause or turn off operations. New preparation pauses when prior work needs action or after seven days of dashboard inactivity. City coordination shares selected public tribe names and identifiers with participating builders in the same city to support collaboration and prevent duplicate contact handling; private member messages, email content and business records are not shared. You can disable city coordination. Global tribes use online opportunities without an invented local territory.

Visibility and access controls

Community content may be visible to members and authorized community managers according to the app’s features. Mini Andrew’s managerial data access is limited to authorized tribes and workflows. It does not grant a builder access to unrelated private direct messages, another builder’s private business records, credentials, or private child information. Collaboration features must respect their configured sharing permissions.

Retention and deletion

Imported reply content and response drafts generated from it expire after 30 days in the reply-tracking feature. Expired records are excluded from normal access and removed by scheduled cleanup. You can delete imported replies and generated response drafts earlier through the reply privacy controls. Disabling monitoring stops new imports; it does not itself delete existing imported records. Provider messages remain in your Google or Microsoft account.

Other account, coaching, business and transaction records are retained as needed for the requested service, applicable legal obligations, security and dispute resolution. To request account access, correction, export or deletion, contact Support@DadTribes.com. We verify requests before acting and explain applicable retention exceptions. Backups, provider logs and legally required records may persist according to the applicable retention arrangements; they are not a reason to continue ordinary use of deleted data.

Your choices and revocation

You can decline email connection, pause routines, edit business memory, disable reply tracking, and delete imported reply data. Disconnecting removes the application’s stored email connection. You can revoke Google authorization at Google account connections and Microsoft authorization at Microsoft account consent or your organization’s application-access controls. Revoking a shared provider grant may also interrupt sending. Reconnecting with narrower permissions may be necessary.

Live voice conversations

Live conversations with Mini Andrew are optional and begin only when you select the voice control and allow microphone access. Microphone audio is transmitted to OpenAI to transcribe your speech and generate spoken responses. Mini Andrew uses an AI voice. TribeBldr does not store raw recordings of these calls; spoken request transcripts, coaching responses, reviewed drafts and explicit verbal approvals are saved in your private coaching history. OpenAI processes audio under its applicable service and data-handling arrangements.

You can mute or end a live conversation and continue typing. Microphone capture ends when you end the call or leave the chat page. Spoken approval applies to the specific current draft being reviewed; it does not authorize unrelated actions. Ending a call does not undo an action already approved and submitted. You can request access or deletion of saved coaching records using the contact process described above.

Security

We use HTTPS, backend authorization checks, encrypted token storage, restricted backend data access, and review controls for external actions. No service can promise absolute security. Contact Support@DadTribes.com to report a suspected issue. Security and legal investigations may require limited retention or access under applicable rules. A feature’s availability does not mean Google or Microsoft has endorsed the service.

Children, jurisdictions and changes

Builder accounts and connected-email business tools are intended for adults aged 18 or older. These tools are not directed to children under 13. Parents should not upload identifying child information unnecessarily and must have appropriate permission for photos; blur children’s faces before publishing event photos. Contact us if you believe a child has provided personal information improperly.

Depending on your jurisdiction, you may have rights to access, correct, delete, obtain a copy of information, or object to or restrict certain uses. Contact us to exercise applicable rights. Information may be processed in the United States and other locations where service providers operate. We will update this policy when practices change and provide notice or seek consent where required.

Website contacts, support and tribe pages

Dad Tribes LLC stores signup names and email addresses, source tags and communication preferences. Public support conversations and follow-up email addresses are available only to authorized support administrators. AI answers use approved reference information; support is identified as AI. Support conversations are retained for up to 30 days; escalated cases are retained to resolve the request. Tribe leaders do not receive member email addresses. Public tribe pages display approved presentation content, photos and coverage; private chats and member contact details are not published. Tribe landing pages record page views, button and store-link clicks using a browser-generated identifier; the server stores a keyed pseudonymous identifier separately for each tribe, not raw IP addresses in analytics records. Estimated visitors are not verified individuals. Global Privacy Control and Do Not Track signals suppress browser analytics. Aggregate reports are available to the owning builder; email addresses remain private. Join requests match accounts only after email ownership is verified and expire after 180 days if unmatched. Proposed tribe-page photos are processed by AI services for content screening and remain private until reviewed and approved. Unapproved private photo submissions expire after seven days; approved public copies remain until removed from the page.
